Automations
When something happens in your tools, do the next thing by itself: send an email, wait, tell your team in Slack, Teams or Discord, or send it to your own system.
Start from a recipe
- 1Pick a recipe, such as Ask for a review after each booking or Say thank you when an invoice is paid. It opens filled in, so read it, change anything, then Save.
- 2Or choose New automation and Start from scratch: pick what starts it under When, then add steps.
- 3Use the switch beside an automation to turn it off for a while without losing it.
What can start one
- 1A form gets a response, someone books, a booking's time is over, a booking is cancelled, someone did not come, an invoice is paid in full or becomes overdue, a testimonial comes in, a guest replies, a website goes down or comes back, or a time you set: every day, week or month.
- 2Where it helps, choose which one: a single form, event or monitor, or any of them. For guests, choose the answer to act on, such as Going.
- 3An automation acts on what happens after you make it, never on last week's bookings or invoices.
The steps
- 1Email me sends to you, or to people in your workspace you tick. Email them sends to the customer, guest or client it is about, from your business name; their replies come to you.
- 2Wait pauses for minutes, hours or days. When the time is up it checks first: a booking marked as did not come, or an invoice paid meanwhile, stops it there.
- 3Post to a team chat sends a message to Slack, Microsoft Teams or Discord. In the channel's settings, add an incoming webhook and paste the address it gives you.
- 4Send to a webhook posts every detail as JSON to your own system, signed with the secret shown on the step (an HMAC-SHA256 of the body in the X-ToolkitDeck-Signature header).
- 5In any subject or message, + Detail puts in a detail such as {name}, {service} or {invoice_link}, filled in when it runs. Preview with sample details shows how it will read.
Try it, and see what it did
- 1Try it now runs it straight away on the latest real details, or sample ones. Emails meant for customers come to you instead, and waits are skipped.
- 2What it did lists every run with each step: sent, skipped and why, or failed and why. A failed run also shows on your home page.
Good to know
- Free: 3 automations on at once and 100 runs a month. Pro: 25 on and 3,000 runs. Business: 100 on and 20,000 runs.
- A run is one time an automation starts, however many steps it has. Tries do not count.
- Up to 10 steps each; a wait can be up to 30 days.
- Automations never move money.
