Books
Bookkeeping from your bank statements, receipts and invoices: every account checked against the bank, and profit month by month.
Set up
- 1Name the business, choose its currency and the month its financial year starts.
- 2Add each place it keeps money: bank accounts, mobile money and cash. Give each its opening balance on a date; the opening balance of the first statement you will bring in, on its first day, is best.
- 3A chart of categories is ready to use: sales, rent, salaries, diesel and fuel, bank charges and more. Rename, add or remove them in Settings.
Bring money in
- 1Choose Bring in a statement. Pick the account, then drop the statement PDF (or a scan or photo of it), a CSV, or one Tables to Excel has already read.
- 2Check the preview: what is new, and what is already there. Bringing the same statement in twice adds nothing twice.
- 3Its closing balance is compared with your books. If they differ, a statement is missing, or the opening balance needs correcting in Settings.
- 4Money moved between two of your own accounts is recognised and never counted as income or a cost.
- 5Choose Add a payment for anything paid in cash or not on a statement.
Sort and keep receipts
- 1Give each transaction a category from the list beside it. Choose Always to sort every payment with the same words the same way from now on.
- 2Tick several to sort them together.
- 3Choose Receipt, then Take a photo to photograph one in the page (or choose a photo or PDF). Its date, total and shop are read for you; keep it with the payment it belongs to, or add it as a new payment.
- 4Money in that matches an open invoice from Invoices is offered as a match. Matching marks the invoice paid there.
See how the business is doing
- 1Overview shows money earned, costs and profit for the period, what needs you, and each account's balance and bank check.
- 2Reports shows profit and loss by category for any period, month by month, and what the owner took out or put in.
- 3Download every transaction as a CSV for an accountant. On paid plans, download the year-end summary PDF.
Good to know
- Free keeps one business and three accounts. Nothing is deleted when you reach a limit.
- Tax paid and the owner's drawings are not costs: they are shown after profit.
- Books adds up your own records. It is a summary, not tax advice.
