Events
An event page to share, replies with a live guest list, reminders so people come, and QR check-in at the door.
Make the event
- 1Tap New event, give it a name, when it starts and where. That is enough to share it.
- 2Choose who can reply: anyone with the link, or only the guests you add.
- 3Under more options, add a cover picture, how many places there are, how many people each guest may bring, up to three questions, and the cost with how to pay you.
Invite people
- 1For an open event, copy the page link or tap Share and post it on WhatsApp, Instagram or anywhere else.
- 2To invite people yourself, open Guests, tap Add guests, and add one at a time or paste a list, one guest a line.
- 3Each guest has their own link. Email it from the tool, send it on WhatsApp, or copy it.
Replies and the guest list
- 1Guests reply going, maybe or can't go, and get a page with their ticket. They can change their reply there until replies close.
- 2When the event is full, new replies join the waiting list. If someone drops out, the next people waiting move up in turn and are emailed.
- 3Open a guest to change their reply, how many they bring, or whether they have paid. Export the whole list as a spreadsheet.
- 4Tap Remind to reply to email invited guests who have not answered. Each guest is asked at most once every two days.
- 5When a guest has paid, mark them paid and tap Make a receipt. It opens in Invoices; enter the amount and issue it.
Tables and seating
- 1Open Tables and add your tables with how many seats each has. Seats count everyone a guest brings, and a party is never split.
- 2Tap Seat everyone to place guests who are going, biggest parties first, or choose a table for each guest yourself.
- 3Guests see their table on their ticket, and the door sees it when they check in.
At the door
- 1Open Check-in and tap Scan tickets. Hold each guest's QR code in the square; a green card means they are in.
- 2An amber card means look again: the ticket was already used, or the guest has not paid or did not say going.
- 3No ticket? Find the name in the list, or add them with Not on the list.
- 4Make a door link for whoever is at the door. They can scan and check in on their phone, but cannot see emails or phone numbers.
Good to know
- The Free plan runs two upcoming events at a time, with up to 100 guests each. Paid plans take as many as you need.
- Reminders the day before and a few hours before, and updates to all your guests, are on paid plans.
- ToolkitDeck does not sell tickets. Guests pay you directly, using the details you give.
