Invoices
Quotes, invoices and receipts that look like a real business sent them, numbered for you, with your own bank details on them.
Set up once
- 1Add your business name, email and how clients pay you: bank, account name and number. These go on every document.
- 2Add a logo, address, tax ID, your usual terms and a colour whenever you like, from Business details.
Make a quote or an invoice
- 1Choose New invoice, or Quote if the client has not agreed yet. Pick a client or add one on the spot.
- 2Add a line for each thing you did or sold, with quantity, price and tax. Totals update as you type, and the draft saves itself.
- 3If a company client deducts withholding tax, enter their rate so the amount due matches what they will pay.
- 4Choose Issue. It gets its number and can no longer be changed; drafts never count against your plan.
Send it and get paid
- 1Share the link by WhatsApp or anything else, or choose Email it. Your client opens it on any phone, downloads the PDF and copies your bank details.
- 2A client can accept a quote with their name. Turn an accepted quote into an invoice with one tap.
- 3When money arrives, choose Record a payment. The invoice moves to part paid or paid, and you can make a receipt from it.
Keep track
- 1The top of the list shows what is owed to you, what is overdue and what came in this month. Tap one to see those invoices.
- 2Each document shows when the client opened it, and its history.
- 3Need to change an issued document? Void it and make a copy. Its number is kept and never reused, which is what your accountant will expect.
Invoices that repeat
- 1Open an invoice and choose Repeat this invoice. Pick how often, the date of the next one, and when to stop, if ever.
- 2Choose what happens on each date: a draft for you to check, or issued and emailed to the client. If it cannot be sent, it waits as a draft and you get an email saying why.
- 3Repeating lists them all. Tap one to change the dates, pause it or stop it. Invoices already made are kept.
Client statements
- 1Clients shows everyone you bill, with what each still owes. Tap a client for their statement: every invoice and payment, with a running balance.
- 2Share the statement's link, email it or download the PDF. The link always shows the latest, so you can send it once and it stays current.
- 3Make a new link at any time; the old one stops working.
Good to know
- The Free plan issues 10 documents a month and repeats one invoice. Drafts are unlimited.
- Paid plans issue as many as you need, drop the ToolkitDeck credit from documents, and email reminders for late invoices a day, a week, two weeks and a month after the due date.
- To send by email, confirm your own email address first. Sharing by link always works.
- Payments go straight to you. ToolkitDeck never receives or holds money for you.
