Key points

  • Give a receipt for every payment, including part payments, service charges and deposits.
  • In Lagos, the Tenancy Law 2011 requires landlords to issue a written receipt for every rent payment.
  • Write the amount in figures and in words, so it can't be altered later.
  • Say exactly what each payment covers: which property, which period and what it was for.
  • Show what is still owed, so there is never confusion about the balance.
  • From 2026, tenants need proof of rent to claim rent relief on their tax, so a proper receipt matters more than ever.

Most rent disputes come down to one question: what was paid, and what was it for? A clear receipt answers that question for good. It protects the tenant, who can prove they paid, and the landlord, who can show exactly what is still owed.

Receipts matter even more from 2026. Under the Nigeria Tax Act 2025, employees who rent can claim rent relief on their income tax, and they need to show what they paid. A proper receipt from you is that proof.

Whether you own a few flats, manage property for an owner or let shops in a plaza, here is what your receipts should show and how to keep records that settle arguments before they start.

Do landlords have to issue rent receipts in Nigeria?

In Lagos, yes. The Lagos State Tenancy Law 2011 requires landlords to issue a written receipt for every payment of rent. Other states have their own rent and tenancy laws, but whatever the law where you are, a receipt for every payment is good practice that protects you as much as your tenant.

What should a rent receipt show?

  1. A receipt number. Number receipts in order and never reuse a number.

  2. The date the payment was received.

  3. The landlord's name, or the owner's name if an agent or caretaker issues it on their behalf.

  4. The tenant's name.

  5. The property: the full address, and which flat, shop or room.

  6. The amount in figures and in words: "₦1,200,000 (one million, two hundred thousand naira)". Words make it much harder to alter the figure later.

  7. What the payment was for: rent, service charge, caution deposit, agency or legal fees, each on its own line.

  8. The period covered: for example, "Rent for 1 March 2026 to 28 February 2027".

  9. How it was paid: bank transfer (with the reference), cash or cheque.

  10. The balance still owed, if any.

  11. The name and signature of the person who received the money.

How do you handle yearly rent and part payments?

In much of Nigeria, rent is paid a year or more in advance. In Lagos, the Tenancy Law limits how much rent a landlord can demand in advance from a new tenant to one year. Tenants also sometimes pay in instalments. A clear receipt handles each case:

  • Full payment for the year: one receipt stating the full period covered.

  • A part payment: a receipt straight away for that part, showing the amount paid and the balance still due. Don't wait for the full amount before giving a receipt.

  • The balance: a new receipt that refers to the earlier one by number and shows the balance as cleared.

How should you record service charges and caution deposits?

Keep them separate from rent, each on its own line, and ideally on their own receipts:

  • Service charge: say what period it covers and what it pays for, such as security, cleaning or the generator.

  • Caution deposit: record the amount clearly. When the tenancy ends, a clear record makes it much easier to agree what is returned and what is deducted for repairs.

Why do rent receipts matter for tenants' tax?

From 2026, an employee who rents can deduct 20% of their annual rent, up to ₦500,000, from their taxable income. Their employer, or the tax authority, may ask for proof. A receipt that shows the tenant's name, the property, the amount and the period is exactly what they need.

What records should landlords keep?

A receipt book in a drawer is easy to lose, and carbon copies fade. Whatever you use, keep:

  • a copy of every receipt you issue

  • a list of each tenant's payments and what is still due

  • each tenancy's start and end dates, so you know when rent next falls due

  • copies of tenancy agreements and any notices served

If you manage property for an owner, these are the records you show them at the end of the year.

What about the tenancy agreement?

A receipt records a payment. The tenancy agreement records what both sides agreed: the rent, how often it is paid, what the deposit covers, who repairs what and how much notice either side must give. Treat any template as a starting point, read every clause and take legal advice where you need it.

Common questions

Can I issue a receipt on WhatsApp?

Yes. A digital receipt, sent as a link or a PDF, is as useful as a paper one, provided it shows all the details above and you keep a copy.

Should caretakers and agents issue receipts?

Yes, in the owner's name, stating that they received the money on the owner's behalf. The owner should get a copy of every receipt.

What if a tenant pays in cash?

Issue the receipt on the spot, write "cash" as the payment method and keep a copy. Cash payments are the ones most likely to be disputed later.

Do I need to give a receipt for a caution deposit?

Yes. It is the tenant's money held by you, and a receipt is the clearest record of what will be returned when the tenancy ends.

How long should I keep receipts?

At least for the length of the tenancy and several years after. Keep them for as long as you may need them for tax or a dispute.
